This position is responsible for assisting buyers, sellers, and their agents when property is sold to a new owner in a Homeowners Association (HOA) we manage.
The objective of this function is to protect the rights of the HOA while fulfilling the statutory obligations related to HOA's Disclosure.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Process Demand Statements within deadlines required by Arizona State Statutes.
- Comply with disclosure deadlines required by Arizona State Statutes.
- Provide proper documentation required by Arizona Revised Statutes.
- Ensure accuracy when disclosing ownership of property, amounts owed and outstanding violations that need to be remedied.
- Professionally communicate with others when collecting required documentation.
- Prepare statement documenting funds necessary to close.
- Provide timely response to title agencies, realtors, homeowners, buyers and others.
- Review closing documents and verify all funds were properly collected.
- Create new owner account in accounting system and send welcome packet.
- Process funds paid at closing from title agency into HOA operating and reserve accounts.
- Prepare documentation for scanning into electronic format.
- Attend continued training courses regarding new legislation.
- Update disclosure information annually with community managers and vendor.
- Process/Research Trustee’s Sales.
- Research Bankruptcy issues.
- Obtain proper documentation from homeowners for name changes.
- Plus other work related tasks as needed

Education And/Or Experience
High School diploma and one year related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
MATHEMATICAL SKILLS
Ability to do addition, subtraction, multiplication, and division. Calculate figures and amounts such as discounts, interest, and percentages.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Able to deal with problems involving several concrete variables in standardized situations.
COMPUTER SKILLS
To perform this job successfully, an individual should have knowledge of Management systems; Database software; Internet software; Spreadsheet software and Word Processing software.
Pay and Benefits
$16.00 to $18.00 depending on education and experience.
