Responsibilities
Job Summary:
We are seeking a detail-oriented and proactive Assistant to provide administrative and operational support to our accounting department of approximately 20 team members. The ideal candidate will play a key role in ensuring smooth daily operations, maintaining an organized office environment, and supporting the team’s productivity. The Office Assistant is a critical in-office role, essential to ensuring the smooth daily operations of our department. Due to the nature of the responsibilities, this position requires physical presence at our corporate office in Woodbridge, Va and is not eligible for telework.
Key Responsibilities:
- Administrative Support:
- Promptly scan all incoming financial documents and save them to our network server in an organized fashion.
- Promptly scan all incoming tax related documents and save them to our network server in an organized fashion.
- Assist with maintaining departmental schedules, calendars, and meeting coordination.
- Prepare, proofread, and distribute correspondence, reports, and presentations.
- Handle incoming and outgoing mail including Fedex deliveries, tracking delivery and receipt of certified documents.
- Manage the general accounting email inbox and forward correspondence to the appropriate team members
- Office Management:.
- Order and maintain office supplies, ensuring organization and availability at all times.
- Organize and maintain physical and digital filing systems.
- Team Support:
- Assist with downloading and/or requesting missing financial documents when requested by members of the accounting team
- Assist with onboarding new employees, including team introductions and coordination of necessary trainings.
- Serve as a point of contact for internal and external stakeholders.
- Event Coordination:
- Organize team events, meetings, and celebrations, including logistics, catering, and materials.
- Support departmental projects and initiatives as needed.
- General Tasks:
- Answer phones, greet visitors, and respond to inquiries professionally and promptly.
- Ensure confidentiality and handle sensitive information appropriately.
- Perform additional tasks or special projects as assigned by the Vice President of Accounting and Administration.
Qualifications
Qualifications:
Education: High school diploma or equivalent required
Experience: 1–3 years of experience in administrative or office support roles.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Attention to detail and ability to prioritize tasks effectively.
Pay and Benefits:
$23.00 to $26.00, depending on education and experience.
